FAQs-Receiving postal items

If the Tracking System shows the following entry in the “Extra Information” column, after the elapse of reasonable time for the item to be processed and be ready for collection, you can collect it yourself, without a notification. If somebody else will pick up the item on your behalf, you should provide a written authorisation.

In the above case, the written notification might reach you after you collect the item, therefore, you should note the number so that you do not look for the same item again.

To collect an item, the addressee or an authorised person must present a valid and official photo ID document (identity card, passport, driving licence etc).

Yes. You need to provide this person with a written authorization on the back of the printed notification or fill in the authorisation form which can be found on our website https://www.cypruspost.post/uploads/docs/7cf2a168d2.pdf and present it to collect the item. If you receive SMS notifications, simply forward the SMS to this person. In this case, you need no other authorization. The person who will collect the item on your behalf should present a valid and official photo ID document (identity card, passport, driving licence etc).

For items with "Personal Delivery", in addition to the written authorisation, the authorised person must present the addressee's valid official photo ID document, either in printed or digital form.

For customs clearing of certain items, due to the value and/or nature of the contents, a customs declaration must be submitted in "THISEAS" system. You need to contact a Customs Clearing Agent for the necessary actions. When the process is concluded, the relevant documents and the payment receipt should be uploaded in "THALISUPP" system.

All postal items, can be collected from the local Post Offices, after the customs examination has been completed. You can pay the taxes, duties and other charges online from the THALISUPP platform. The items appear on the platform before their arrival in Cyprus. The payment can be made at any time. If it is completed online before the item's arrival in Cyprus and home delivery is provided for the specific item category, subject to the item's weight/volume, then it will be delivered to the address contained on its label.  

For every postal item, regardless of category and method of payment, which is subject to payment of taxes and import duties, the postal "presentation to customs fee" is levied on top of the imposed taxes and import duties. The amoun of the postal "presentation to customs fee" is included in the official price list of Cyprus Post which is in effect, which at the moment is € 3,50 per item, regardless of the value of the contents.   

Many online shops have storage hubs also outside the European Union. Therefore, even if the online shop is located in the European Union, the item is subject to customs examination and possibly the payment of duties, taxes and charges, if it has been sent from a country outside the EU.

The item originated from a country outside the European Union and has arrived in Cyprus after being posted in a European Union country. At the first entry in the EU, taxes and duties were not paid, therefore, these maybe imposed in Cyprus.

No, there is either a printed or SMS notification for the arrival of the item and the item can be collected at the local Post Office, unless is subject to customs examination, in which case it can be collected at the District Parcel Post Office.

You can collect an item within 30 days after the issue of the notification for its arrival. When this time elapses, the item is returned to the sender or in the case of parcels, the instructions given by the sender are implemented.

All postal items, except those which are subject to customs examination, are handed over on a regular basis to the United Nations (UNFICYP), in order to be forwarded to the addressees.

All items which are subject to customs examination (e.g. items containing goods originating from countries outside the European Union), can be collected by the addressee or by an authorised person from the Lefkosia District Post Office at 100, Prodromou street, 2063 Strovolos. The addressee or the authorised person must present a valid and official proof of ID.

Further to previous announcements, we would like to inform you that for online purchases from e-commerce platforms, based in countries outside the European Union (EU), all of the following prerequisities must be met: 

  1. The e-commerce platform must be registered at the tax authorities of an EU Member State. 
  2. For each postal item, an electronic customs declaration (ITMATT), must be created and forwarded by the origin postal organisation. 
  3. The e-commerce platform unique IOSS number must be included in the ITMATT, in the specified data field.

Based on the above, Cyprus Post submits electronically the ITMATT received by the origin postal organisation, to the Department of Customs & Excise of the Republic of Cyprus. This system verifies the validity of the said IOSS number. 

If all of the above prerequisities are not met or if the IOSS number is not verified by the Customs' system, then the item is NOT covered by the IOSS scheme and therefore, the recipient will be asked to pay the VAT upon collection of the item in Cyprus. In such a case, the recipient can contact the seller.

The inclusion of the IOSS number on the item's label, without the above prerequisities to be met, does not relieve the item from VAT payment. 

If you have reasons to believe that the prerequisities set above are met, but you were asked to pay VAT upon collection of your postal item, please send the relevant IOSS refund application found on our website https://www.cypruspost.post/en/ioss-refund-form. The applications are examined as soon as possible. If justified, a bank transfer is effected or a refund is made to the recipient's credit card if the payment was done online via THALISUPP.

You must submit a Damage Report the soonest and not later than three (3) working days after the collection of the item, by presenting the item at any Post Office, in the exact condition received, including the external and internal packaging.

Then, you should notify the sender that you have received an item with damage/missing contents and that he/she should submit an Item Inquiry to the origin Post for further investigation. 

If the investigation proves that the damage was caused by the Posts due to mishandling, the sender is entitled to compensation.

In Cyprus Post's continuous effort to improve the services offered to our customers, a Delivery Choice, applicable to parcels and EMS items (barcodes starting with C and E respectively), is provided.

For all items not subject to customs examination and provided that a valid mobile number or email is available in the item’s electronic data, upon arrival of the item in Cyprus, a message will be sent to the addressee, with a link to a delivery choice page. The link will be valid until 6:00 am on the next date.

The addressee will be given the following delivery choices:

  1. To a Parcel24 parcel locker (free of charge). The addressee can select a parcel locker system located in the same district, based on the address.
  2. Collection from the Post Office that serves the respective post code.
  3. Redirection to another delivery address from the one on the item’s label, eg. to an office address, to neighbor etc.
  4. Home delivery to the original address on the item’s label.

The delivery choice is not mandatory. In case the addressee does not make a choice, the item will be delivered to the address on the label.

The delivery choice is a free service. Furthermore, the addressee will not be required to enter any personal data.
